Business email

The company mailbox sits on the company domain. Personal Gmail, Hotmail, or Yahoo is a risk flag for banks and payment providers. We open Google Workspace or Microsoft 365 in the company’s name after the domain exists.

Display-name tricks do not work. A reviewer who writes to the address on the website expects a reply from that domain, and the application form asks for it. We create the mailboxes for the directors and the public addresses, set SPF, DKIM, and DMARC so mail actually arrives, and keep the admin recovery with the company — not with a personal Gmail that someone might lose. Billing is in the company’s name. We do not open the mailbox before the domain is registered, and we do not leave the founder on a free Gmail for ‘just a few weeks’ while the company account is pending.

Company mailboxes

Banks and payment providers treat a personal Gmail or Hotmail as a risk flag. The mailbox has to be on the company domain and should match the legal name closely enough that a reviewer can see it is the same business. We open Google Workspace or Microsoft 365 after the domain exists, not before.

  • Google Workspace

    Google Workspace is the mailbox we brief first for most companies. The founder gets an address such as name@company.com, not a Gmail address with the company mentioned in the display name. Drive, Calendar, and Meet sit on the same account, which is what a remote company actually uses. Billing must be in the company’s name. A Workspace trial on a personal credit card with a personal recovery phone is a weaker file than it looks.

    We brief this on every company that needs email. Google Workspace is available in the countries we form in; the limiting factor is the domain and a payment method the company can hold.

    How we help

    We connect the domain, verify DNS, create the mailboxes for the directors and the public addresses (hello, finance, support), and set SPF, DKIM, and DMARC so mail sent as the company is accepted. Google decides the account. Recovery methods stay with the company, not a personal Gmail.

  • Microsoft 365

    Microsoft 365 is the mailbox we brief when the company already lives in Outlook, Teams, and OneDrive, or when a counterpart (a bank, a counsel, a client) expects Exchange. It is not a lesser product than Google Workspace; it is a different desktop. The same rules apply: company domain, company billing, recovery in the company’s control. A personal Outlook.com address is not Microsoft 365 for a business.

    How we help

    We attach the domain, create the mailboxes, and set the DNS records Microsoft publishes for SPF, DKIM, and DMARC. Microsoft decides. We do not leave the admin login on a personal Microsoft account.

DNS for email

A mailbox that cannot send is as weak as no mailbox. The domain’s DNS has to say that Workspace or Microsoft is allowed to send as the company. We set that when we open the mailbox, usually on Cloudflare.

  • SPF, DKIM, and DMARC

    SPF, DKIM, and DMARC are the DNS records that stop other people sending mail that looks like the company, and that stop the company’s own mail from landing in spam. Payment-provider mail (Stripe, PayPal, the bank) also has to reach the founder. We set these records as part of the mailbox work, not as an optional extra. Cloudflare DNS is the usual place we put them because the domain often already lives there.

    How we help

    We publish the records the mailbox vendor specifies, check that mail sends and receives, and keep the admin lock with the company. This is included in the email mandate; it is not a separate product we upsell.

Frequently asked questions

Why not keep using Gmail?

Because the bank and the payment provider read it as a personal operation. A company domain mailbox is one of the cheapest, clearest signals that the entity is real. We still cannot guarantee their approval; we can avoid giving them an easy reason to doubt the file.

Google Workspace or Microsoft 365?

Google Workspace is the default for most of the companies we form. Microsoft 365 is the right file when the team already works in Outlook and Teams, or when a counterpart expects Exchange. We do not run both as a matter of course.

Who holds the admin login?

The company. We set it up, then the recovery phone, recovery email, and billing stay under the company’s control. We do not leave Workspace tied to a personal Gmail we cannot reach in a year.
